Announcing Employease Network Release 6.1:

The following document describes the new functionality delivered to our customers.

Primary Care Physician

The Employease Network has been enhanced so that Primary Care Physician (PCP) information can now be stored for the employee or dependent associated with the employee's benefit enrollment. Prior to 6.1 primary care physician information was typically stored in custom fields.

When a medical plan requires PCP information, you will enter the PCP ID and PCP Name when initiating an employee enrollment from either the Employee Management Center or Enrollease. The employee through Employee Access will have the ability to enter and manage personal and dependent PCP information during an enrollment period as well.

Benefit Setup:

You will have the ability to define PCP rules when creating a new medical, dental, vision or custom plan. You will be presented with three options to define your PCP rules:

1. PCP Off: PCP fields will not display.
2. PCP Name/ID Track: PCP Name, PCP ID fields display. Data entry is not required prior to saving an enrollment.
3. PCP Name/ID Required: PCP Name, PCP ID fields display. Data entry is required for PCP ID and/or PCP last name. PCP first name is never required.

You may also edit existing medical, dental, vision or custom plans to define PCP rules.

The decision to track or require PCP information should be determined by your Insurance Carrier Requirements.

PCP Data Migration

Customers currently using custom fields to store PCP may wish to migrate their PCP data from custom fields into the new PCP fields associated with an employee benefit enrollment. While we encourage you to use the new PCP features and to discontinue the use of custom fields to store PCP information, migration, in most cases, is not necessary.

In most cases, migration is not necessary because PCP information is transferred to Carriers on the initial enrollment only. Subsequent PCP changes are handled by the employee directly with the Carrier. Therefore, the Carrier has the most up-to-date PCP information. Please discuss migration options with your Account Manager.



As a result of your decision to use the new Benefit Plan PCP fields, your Carrier/Eligibility connection configuration will need to be modified. Please contact your Account Manager to coordinate these changes with the Professional Services Group.

Enrollease:

Enrollease has been enhanced so that it allows users to enter/update PCP information. Navigation improvements have been made so that completing enrollments becomes more efficient.

Employee Management Center

EMC Search Footer

The toolbar found at the bottom of the screen within an employee record has been enhanced to provide dual-action capability. You will notice two options, search tools, and, ee toolbox. The search tools allows you to search from within an employee screen for another employee by last name, social security number or employee id. In this way, you can quickly move from employee to employee within the same category of information. You can also toggle to the ee toolbox, which continues to provide employee record options such as employee summary, notes and archive.

Edit/View Employee Benefits

For those plans that require PCP information, the edit benefits tab has been changed so that PCP information can be entered for employees and their dependents. You can also view PCP historical information.

In addition to PCP changes in Edit/View benefits, the Edit Benefits Page has been enhanced to provide a data entry box, which allows you to view an employee's enrollment at a specific date in time. From the View Benefits Page, you can now view dependent enrollment history.

Compensation Enhancements:

All earnings types will be tracked with four decimal places. This will provide for greater accuracy when storing earnings information and transmitting hourly rates to payroll.

In addition, we have improved the functionality for making changes to historical earnings information. The Employer Access user will now have the ability to delete incorrect entries.







Reporting

Standard Reports:

PCP information is now available in the reports tab for both employees and dependents. The PCP information can be found under additional plan options. The following standard report templates now include all PCP information for those plans that track or require this information.

· Enrollment

Analytical Reporting:

The following new analytical reports have been added:

1. Candidate Summary (used with Employease Recruitment)
2. Applicant Flow Gender/Race (used with Employease Recruitment)
3. Applicant Flow Gender/Minority (used with Employease Recruitment
4. Compensation Change and History

The EEO-1 report has been enhanced to include a filter for employee classification.

Employee Access

If you use Employee Access, PCP information can be updated by employees during open enrollment when they make benefit elections. You can also require employees to update PCP information by turning on the data update wizard. Employees will be able to make changes to PCP information during life event changes.

Manager Access

HR Administrator's can now control the display of employee's Social Security Number and Birthday in Manager Access. A new User Right will allow HR Administrators to turn these fields off or on.



The Employer Access Message Center

The message center has been upgraded so that the administrator can now view up to 50 messages. If more than 50 are present, a message alerting the HR Administrator will be displayed. A page navigation tool will allow the HR Administrator to view all messages.

The HR Administrator's messages have been reorganized into new categories, pending, approved, and rejected. All saved messages have been migrated over based on status of message.
